Availability may depend on the value of the order, the customer’s eligibility and the provider’s terms.
Venus365 does not receive or store your complete card number, security code or full digital-wallet credentials.

- partial or masked card details;
- billing-verification or fraud-screening results;
- refund status.
Payment and finance providers process information under their own privacy notices and may independently assess payment or credit eligibility.

- password in protected or hashed form;
- billing and delivery addresses;
- telephone number;
- order history;
- saved preferences;
- account activity.
We use this information to provide account functions, including viewing orders, managing addresses, checking available delivery information and simplifying future purchases.

Please do not send complete payment-card details, passwords or information that is not relevant to your enquiry.

Venus365 does not normally require special-category personal information to process an order.

An intimate-wellness enquiry, complaint or return request could occasionally reveal health or sexual-life information. Please provide only what is reasonably necessary for us to deal with the matter.
Where you voluntarily provide this type of information and its use is necessary to respond, we will generally rely on:

Subject to your cookie choices, we use Google Analytics 4 to understand website use and performance:
- Google Analytics 4 to understand website use and performance;
Google Tag Manager helps manage this measurement, while GTM4WP connects relevant website and shopping activity where configured.
Complianz GDPR Cookie Consent manages your cookie choices and communicates them to compatible technologies, including through Google Consent Mode where configured.
Optional technologies are controlled according to your cookie choice. You can review or change those choices through Cookie preferences on the website.

We do not currently use advertising or remarketing technologies.
Venus365 does not currently make decisions producing legal or similarly significant effects solely by automated means.
Payment, finance and fraud-prevention providers may use automated systems to:

- assess eligibility for instalment or Pay Later services.
Those providers may act as independent controllers under their own privacy notices.
Where a provider’s decision affects the availability of a payment or finance option, you may need to contact that provider directly.

Including Stripe, PayPal, Klarna and Clearpay, to authorise payments, assess eligibility, prevent fraud and administer refunds or finance arrangements.
Fulfilment suppliers
Including Ancient Wisdom Marketing Limited trading as AW Dropship, where products are prepared and dispatched directly on our behalf.
Delivery carriers
To address and deliver parcels, provide tracking, investigate delivery issues and administer returns.
Hosting and technical providers
Including NoFrillsCloud and providers supporting website hosting, email, backups, security, performance and maintenance. Contact and return-request forms are provided through Gravity Forms with Gravity Forms Zero Spam for spam prevention.
Email and communication providers
Including Campaign Monitor for marketing communications and providers used to send operational website and order emails.
Analytics and consent providers
Including Google Analytics 4, Google Tag Manager and Complianz GDPR Cookie Consent, where the relevant processing is enabled and permitted.
Professional advisers
Including accountants, insurers, legal advisers and technical consultants where reasonably necessary.
Public authorities
Where disclosure is legally required or reasonably necessary to prevent, detect or investigate crime, fraud or legal wrongdoing.
Business successors
Where all or part of the business is sold, transferred or reorganised, subject to appropriate confidentiality and data-protection arrangements.
We do not sell customer personal information to advertisers or data brokers.
Where a supplier dispatches an order directly on behalf of Venus365, it may receive:
- your name;
- delivery address;
- relevant contact information;
- products ordered;
- delivery instructions;
- information required to arrange or investigate delivery.
Your sales contract remains with Venus365.
Fulfilment suppliers must not use information received from Venus365 for unrelated marketing without their own lawful basis and appropriate privacy information.
Transfers and security
Some service providers may process or store information outside the United Kingdom.
This may happen where:
- a provider is established overseas;
- a UK provider uses overseas infrastructure or support;
- payment, analytics or advertising platforms operate internationally;
- cloud storage, backups or sub-processors are located overseas.
Where a restricted transfer is made, we will rely on an appropriate legal safeguard, which may include:
- UK adequacy regulations;
- approved contractual protections;
- the UK International Data Transfer Agreement;
- an approved UK Addendum;
- another mechanism permitted by law.
We use reasonable technical and organisational measures intended to protect information against unauthorised access, loss, misuse, alteration, disclosure or destruction.

- restricted administrative access;
- strong authentication and access controls;
- security and software updates;
- backups;

- specialist payment processing;

No online service can be guaranteed to be completely secure.

Retention
We keep information only for as long as reasonably necessary for:

Orders and financial records

Kept for as long as reasonably necessary to resolve the matter and manage any related legal, financial or operational issue.
Marketing information
Kept while you remain subscribed. We may retain a minimal suppression record after unsubscribing so that your choice continues to be respected.
Security and technical logs
Kept for a limited period based on security, troubleshooting and fraud-prevention requirements.
Analytics information
Kept in accordance with the relevant service settings, consent choices and the periods described in the Cookie Policy.
Information will be deleted or anonymised when it is no longer reasonably required.
The right to deletion is not absolute.
We may retain information where necessary to:

- administer an active order or refund;

Closing a customer account does not automatically require deletion of every order, transaction or legal record connected with it.
